I.  Full-time Registration for ADULTS:

·        SPECIAL Discount $1000 per person. Between August 1st till October 1st, 2026

·        1st Wave Registration :

Early Bird Discount $1150 if you register before December 1st, 2026 and PAY THE FULL AMOUNT. We do not accept deposits for Early Bird Discounts.

Please send the full amount of $1150 so you can save and take advantage of the discounts.

·        2nd Wave Registration:

Discount Delight $1250 if you register between December 1st-February 1st 2027.

$500 Deposit accepted. Please pay the full amount by FEB 1st to take advantage of the discounts. AFTER FEB 1st, $100 will be added to your total.

·        3rd Wave Registration:

Joyful Jamboree $1350 if you register after February 1st 2027

Deposit of $500 is accepted till April 30th. The balance due by June 1st.

If you register after June 1st, please send in the full amount via PAYPAL or Checks, Money Order, Cashiers’ Check.

II. Full-time Registration for CHILDREN:

• Children 6-12 years old:

$820 total; no deposits,  please send in the full amount. Children MUST be accompanied by an adult. We may have someone who will take care of the children during the class periods. However we do not take responsibilities for them even though we may provide help while parents are taking classes. Our staff do not provide services like feeding them, changing their diapers, etc. Parents must take care of them during breakfast, lunch and dinner periods and after dinner.  Please contact Gamze for details. In terms of camp fees anyone who is over 12 years old is considered as an adult.

• Children 2-6 years old: 

$620 No deposit but full amount due. Children MUST be accompanied by an adult. We may have someone who can take care of the children during the class periods. However we do not take responsibilities for them even though we may provide help while parents are taking classes. Our staff do not provide services like feeding than, changing their diapers, etc. Parents must take care of them during breakfast, lunch and dinner periods and after dinner. • Children under 2 years old come for free. We do not have staff to take care of children under 2 years old. Parents are responsible for taking care of them.

We offer games, activities and small casual classes for children age between 2-12 years old. Please ask Gamze for more information.

Why Children’s Camp Fees Are Structured This Way

We truly love having children at camp. They bring so much joy, energy, and life to our community, and more importantly, they are the next generation who will carry these beautiful musical, dance, and cultural traditions forward.

Our campground charges us for each child over the age of 2 at the same rate as an adult, and every child also occupies a full bed and cabin space. This means that our actual lodging and facility costs for a child are essentially the same as they are for an adult.

Even so, we do not charge children the regular adult camp fee of $1,350. Instead, we subsidize a significant portion of their registration and offer a special children’s rate of $820 for ages 6–12 and $620 for ages 2-6. HOWEVER, we still pay $1350 for each kid and love doing it as long as we can.

We think of this difference as an investment in the next generation. Children are a gift to our community, and we want families to be able to bring them to camp—to grow up surrounded by the music, dance, traditions, friendships, and sense of belonging that make this community so special.

Thank you for understanding that while our underlying costs remain the same, we do everything we reasonably can to make camp more accessible for our youngest campers. ❤️

III. Part-time Registrations:

• Part-time registration for ADULTS is possible on a pro-rated $350 per day basis from 8am to next day 8am. If you arrive late, you still need to pay full day amount requested just like any other hotel. Except, you can eat free and join classes and all the parties for free. If you stay later than 8am next day, you need to pay another full day amount.

• Part-time Registration for CHILDREN:

2-12 years old: $250 per child per day basis from 8am to next day 8am.

Any child younger than 2 years old is free of charge.

IV. Group Discounts:

We are offering a discount for group registration. Group leader can bring 5 or more NEW CAMPERS who have never been to camp before.

• If you bring 5 or more new campers, you can come for FREE! Adults only! Kids do not count towards the groups. Regular fees apply for kids.

• You can get 50% OFF from the full amount of $1350 if you bring 10 campers who did not attend the camp last year. Kids do not count towards the groups. Regular fees apply for kids.

• Group registration price $1150 per person. NO Deposit for the groups. Please send the full amount.

• How to register as a group?

1.        Name your group: e.i.  “XYZ Group, ABC Group etc”. You can choose any name. Group leader should let Gamze know about the name of the group and how many there is in your group. Emailing is the best  way of communication, so we can keep track. gamze@middleeastcamp.com

2.        Send your payment: Your members can send payments individually via PayPal, check, money  order or chashier’s check. Each member SHOULD add the Group Name on their registration forms as a note: “I am a member of XYZ Group and sent my payment via ..........”

3.        Choose your cabin mate: Please make sure you write your preferred cabin mate’s name on your registration form. Cabins are for 4 people. If your group has more people, you will be assigned to neighboring cabins.

VI. Cabins and Last Date to Register:

·        REGISTRATIONS ARE ACCEPTED IN THE ORDER RECEIVED. CABINS ARE ASSIGNED ACCORDINGLY.There are no discounts if you tent. Tenting is allowed in meadow area only if you register as camper.

·        IF THERE IS SPACE AVAILABLE, REGISTRATIONS ARE ACCEPTED TILL THE LAST DAY OF CAMP.

·        PRIVATE CABINS are available if you pay the full 4 adults charge which is $5,400 for regular registration . Otherwise, cabins will be shared by 4 adults (same gender) or 2 couples if you are a couple. Please contact Gamze for details, pictures and other information about cabins.

·        GENDER NEUTRAL CABINS: Please let Gamze know if you prefer to be assigned to a gender neutral cabin. No extra charge.

·        If you have any kind of disabilities, please contact Gamze. We will try to help you with cabins.

Each cozy cabin includes:

Please note:
• Bedding is not provided. Bring a sleeping bag or sheets, a pillow, and a blanket.
• Cabins do not have electricity, allowing you to truly disconnect and enjoy nature. Electricity is available in the bathrooms, concert hall, dance hall, dining hall, and other common areas.

Wake up to birds singing, enjoy your morning coffee on the balcony, spend your days immersed in music and dance, and end your evenings by the fireplace with friends who soon become family.

This is camp life. This is home.

VII. Cancellation:

·       CANCELLATION & REFUND POLICY

By registering for Middle Eastern Music and Dance Camp (“MEMD Camp”) and submitting payment in any way (website, Zelle, checks or other payment methods), each registrant acknowledges and agrees to the following cancellation and refund terms.

Camper Cancellations

All cancellation requests must be submitted in writing and received by MEMD Camp on or before May 15 of the applicable camp year. EMAIL gamze@middleeastcamp We can always find a solution. Please do not hesitate to write to us. We are here to support you and the community.

For cancellations received on or before May 15, payments made toward registration are eligible for refund, less a $500 cancellation fee per registered person.

The effective date of cancellation will be the date on which MEMD Camp receives the written cancellation request.

No Refunds After May 15

After May 15 of the applicable camp year, all registration payments are non-refundable.

No refunds or prorated refunds will be provided for cancellations, failure to attend, late arrivals, early departures, missed meals, missed classes or activities, changes in travel arrangements, scheduling conflicts, or other personal circumstances.

Private Cabin Cancellations

Private cabins require payment equivalent to four adult registrations and are reserved exclusively for the registered party. Reserving a private cabin removes the entire cabin from the lodging inventory available to other campers.

For a private cabin cancellation received on or before May 15, the amount otherwise eligible for refund will be subject to a $2,000 cancellation fee, representing the $500 per-person cancellation fee for four adult registrations.

After May 15, all payments associated with a private cabin reservation are non-refundable.

Cancellation Due to Unforeseen Circumstances

MEMD Camp reserves the right to cancel, postpone, relocate, shorten, modify, or otherwise alter the camp when circumstances beyond its reasonable control make it impossible, impracticable, unsafe, or inadvisable to hold the camp as scheduled.

Such circumstances may include, without limitation, wildfires, extreme weather, natural disasters, evacuation orders, government orders or restrictions, closure or unavailability of the campground or facilities, public-health emergencies, utility or infrastructure failures, labor disruptions, acts of war or terrorism, civil unrest, death of the organizers, uncertain financial situations or other events beyond MEMD Camp’s reasonable control.

If MEMD Camp is canceled due to such unforeseen circumstances, registration fees and other payments will be non-refundable to the fullest extent permitted by applicable law.

This policy reflects the fact that MEMD Camp makes substantial advance financial commitments—including campground fees, instructors, staff, food, equipment, transportation, production expenses, and other operating costs—many of which may be non-refundable even when the camp cannot take place.

Registration Transfers & Credits

Registration payments, credits, and reservations may not be transferred to another person or applied to a future camp year unless expressly approved in writing by MEMD Camp.

Any approved transfer or credit is at the sole discretion of MEMD Camp and does not modify this Cancellation & Refund Policy.

Acceptance of Policy

By completing registration and submitting payment, the registrant confirms that they have read, understood, and agreed to this Cancellation & Refund Policy.

VIII. Late Fee:

·  A $100 late fee will be assessed for balances received in the mail bearing a June 1st or later postmark.

·  After June 15th, no personal checks will be accepted; please mail in a cashier's check, money order

 . No personal checks after June 15th. Only Money Order, Cashier’s Check or PayPal after June 15th.

IX. Mandatory Review and Acceptance of Camp Rules: Click here for details

All individuals—regardless of role or status, including but not limited to campers, instructors, performers, staff, contractors, volunteers, vendors, visitors, parents or guardians of minors, and any accompanying persons—are required to read all Camp rules, policies, and statements in full prior to registering for or attending the Middle Eastern Music and Dance Camp (the “Camp”).

Completion of registration, payment of any fees, entry onto camp premises, or participation in any camp-related activity constitutes a binding acknowledgment that the individual has read, understood, and agreed to comply with all Camp rules, policies, and legal statements. No person will be exempt from these requirements.

Registration or attendance without first reviewing the rules does not waive their applicability. By registering for or attending the Camp in any capacity, each individual affirms that they have reviewed the rules in advance and accepts that compliance with all policies is a mandatory condition of participation and continued presence at the Camp. Failure to comply may result in immediate disciplinary action, including removal from camp premises, termination of participation, or other actions deemed appropriate by Camp management.

X. Photography, Video & Media Release

Middle Eastern Music and Dance Camp (“MEMD Camp”) is a community event where photography, video recording, and audio recording may take place throughout the camp, including during classes, concerts, performances, parties, meals, gatherings, and other camp activities.

By entering the campgrounds, attending MEMD Camp, participating in any camp activity, or being present at the event, all attendees—including registered campers, instructors, performers, musicians, staff, volunteers, vendors, guests, and visitors—acknowledge and agree that they may be photographed, filmed, or otherwise recorded.

Attendees grant MEMD Camp and its authorized representatives permission to photograph, film, record, reproduce, publish, display, edit, and use their image, likeness, voice, and/or performance for legitimate camp purposes, including promotion, advertising, social media, websites, newsletters, archival materials, documentaries, and other print or digital media, without additional compensation.

Participation in or attendance at MEMD Camp constitutes acknowledgment of this policy, regardless of an individual's role, title, professional status, or relationship with the camp.

For attendees under 18, the parent or legal guardian registering or bringing the minor to camp acknowledges and accepts this policy on the minor's behalf, to the extent permitted by applicable law.

MEMD Camp may also have photographers, videographers, media professionals, and other attendees taking photographs or recordings. MEMD Camp cannot guarantee that an attendee will not appear in photographs or recordings made by others.
